Conferences have been growing in importance for years. However, both economic and scientific conferences have become almost impossible in many countries due to legal regulations in the wake of the Corona crisis. However, scientific conferences in particular have become an integral part of scientific activity in recent times and are common in all individual sciences, serving researchers in particular to establish and maintain contacts.
In most disciplines, participants present current as well as unpublished articles to increase their visibility and receive helpful comments and criticism. Authors usually mention the conference with thanks in the acknowledgement of a later published article.
In some disciplines, however, especially within computer science and electrical engineering, conference contributions count as fully-fledged scientific publications. Contributions to selective conferences enjoy a comparable status to articles in high-ranking journals.
The online conference
Here, even beyond the times of lockdowns, the online conference offers not only a way to continue exchanging ideas, but also some fundamental advantages over traditional conferences. Participants submit a manuscript in advance of the conference, which, in the case of a positive review, is presented at the online conference and subsequently published in the conference proceedings. The presentation will be made via a virtual reality talk.
For this purpose, a 3-dimensional, virtual room is created, which can be VR technology and a commercially available smartphone. From this room, visitors to the online conference can watch the individual presentations, which have been pre-recorded by the speakers, as if in a virtual cinema, from the comfort of their home office. There is no need for long and often costly journeys by experts from all over the world, and the organisational effort is also significantly reduced. Users of the online conference can pause the presentations at any time and are not bound to a specific schedule. Thus, all interested parties worldwide have the opportunity to hear interesting papers presented directly by the authors themselves. The conference organizers simply send out a code and, for example, a version of the Google Cardboard system to the conference participants, who can then visit the online conference for a predefined period of time. The speakers record their presentations for the online conference in advance and these are then available to the visitors in the virtual cinema halls at the online conference.
There are also a number of advantages for the organizers. The costs for catering, hall rental, accommodation, transport, staff and much more are eliminated. All parties involved are much more flexible and a significantly larger target audience can be addressed.
EECS.green accompanies the organizers from the first planning session to the last minute and beyond. The graphics can also be used or adapted in subsequent years. In addition, EECS.green experts provide support and assistance for online conferences so that all participants can get used to the new formats and media and integrate them as part of the scientific work, as "normal" in everyday life. Conference organizers are especially helped to familiarize themselves with the use of the selected tools. VR.green is designed for all ages. Due to the simple handling there are practically no technical hurdles.
